Challenge

Our client needed a visit verification management system that adhered to all the requirements. Healthcare providers need a verification system that checks whether the service was provided to get reimbursed. Various states determine whether the service was provided based on different criteria (format, location, names, time, date, and duration).

We needed to optimize the data for our EVV system in a predefined format to submit to an aggregator. Our client wanted to serve multiple states and therefore required a telemedicine solution that would allow them to configure the data for different message formats and data fields.

We needed to develop a solution that would leverage the existing IT infrastructure and be more modern to keep up with the rapidly changing healthcare industry while meeting the new business requirements.

Solution

We built EVV software that could meet the client’s future business needs. Our solution rested on upgrading the client’s existing software to make it more modular and flexible.

In a standard setting, there is one predefined (default) aggregator. The system allows adding and managing custom aggregators and API endpoints for patients, doctors, and visit messages for advanced needs. After each concluded visit, the system relayed a set of messages.

Our EVV system timestamped each message, tested it against a set of internal rules, transformed it into the desired format (XML or JSON), and validated it against the aggregator.

The app we designed had high error control while recognizing three types of errors:

  • Internal: error during data processing.

  • External: invalid data being received.

  • Aggregator: errors returned by the aggregator service.

Our solution logged and displayed all the errors on a separate page on the platform. After resolving an error, our EVV app would resent the original message from the page.

The integral part of our solution was its ability to collect data on-site. The doctor performing the service would log on, choose the service type, fill in the required fields, collect the signatures, and end the visit. The app would automatically record the device’s geolocation and send all the collected data into the main system.

The solution design enforces federal, HIPAA, and HITRUST security requirements.

Benefits

  • Vicert drastically improved the client’s electronic visit verification. With a tight development cycle, we produced a solution with a low error rate that also enabled Medicaid reimbursement.

  • Proprietary API can be connected to the mobile app and other telehealth devices, which allows our client to attract and retain more customers.

  • Our EVV app captured all the mandatory data (which varies from state to state) and met all federal and state requirements.
